Claims Coordinator (Data Entry)
About the role:
Our team is growing, and we are looking for a detail-oriented team player for the position of Claims Coordinator (Data Entry). This is an entry-level position supporting our claims operations for international exports out of North America. The candidate will log, track, and process claims related to quality, moisture, rejections, and short weights, working between customers, suppliers, internal sales, and accounting. This position reports to the Claims Manager.
We are looking for potential, mindset, and capability—experience is a plus, but not a requirement.
What you’ll do:
You will keep our claims records accurate and moving, while keeping all parties informed and aligned. Your responsibilities include:
• Entering and maintaining claims data (quality, moisture, rejections, short-weight) in our systems with a high degree of accuracy
• Opening, tracking, and updating claim files from first notice through resolution
• Gathering and organizing supporting documentation—weight tickets, inspection reports, photos, BOLs, and correspondence
• Communicating daily with internal sales, accounting, customers, and suppliers to request and confirm claim details
• Following up on open claims and flagging items that need manager attention
• Preparing claim summaries and basic reports for review
• Supporting credit/debit memo handling and general administrative tasks
• Proactively spotting discrepancies and keeping stakeholders updated

Experience and Qualifications:
• Strong data entry skills with attention to accuracy
• Comfort with MS Office (Excel, Outlook, Word)
• Basic understanding of order, shipping, or invoicing processes a plus
• Knowledge of recycling commodities, exports, or logistics an asset (not required)
• Problem-solving skills and a willingness to ask questions
• Ability to prioritize and stay structured under deadline pressure
• Positive attitude and adaptability
