Job Status: Full-time Permanent Position
JOB DESCRIPTION: The Plant Administrative Assistant will be an integral part of the team and work closely with colleagues from various departments. This position requires the candidate to:
- Utilize advanced Excel skills, including mathematical formulas, VLOOKUPs, and pivot tables.
- Manage organization of all Teams channels and folders.
- Manage employee timesheets and PTO files in coordination with HR.
- Coordinate all facility events and handle communication.
- Manage the Product Development Timeline and assist R&D with administrative tasks related to research and development.
- Update the production schedule on TV display.
- Perform data entry tasks, updating Master Analytical information for all production batches, utility usage, and invoices.
- Update monthly reports and scorecards, including those for production, shipping, and quality.
- Create new IFS vendors and confirm banking information.
- Manage Cintas uniforms and Unifirst Safety supplies.
- Ensure Certificates of Insurance for all contractors and visitors are up to date.
- File paper documentation such as Batch Records, employee sign-in sheets, and training documents.
- Follow up with external labs on testing results.
- Review and reconcile batch records and execute transaction in IFS system that inputs FG inventory and reduces raw material inventory.
- Print finished good barcode labels for production items.
- Review inventory levels of production items and place reorders.
- Record and manage meeting minutes.
- Maintain the hallway calendar.
- Update break room bulletins for events, holidays, and compliance information.
- Create PowerPoint presentations for facility meeting, trainings, and other departments as needed.
- Coordinate all annual mask fit and auditory testing for facility.
- Serve as backup for sample management and ordering supplies.
- Print, store, and review visitor logs.
- Answer incoming calls to the facility's main phone number and manage incoming mail.
- Manage printer toner levels and troubleshoot issues.
- Assist the Plant GM with various administrative tasks as needed.
- Proficient in using Excel, Teams, Word, Outlook and PDF.
JOB QUALIFICATIONS:
- Associate’s degree in Business, Marketing or related field
- 2+ years of administrative experience a plus
- Proficient in Microsoft Office (Excel, Teams, Outlook, Word, PowerPoint, PDF); IFS experience is a plus.
- Strong interpersonal, organizational, written, and oral communication skills
- Ability to stay calm, positive, and focused under multiple priorities and tight deadlines.
- Highly organized with attention to detail and effective time management
- Self-motivated, responsible, disciplined, eager to learn continuously.
- Capable of working independently and in teams
- Positive, energetic, proactive, adaptable, and solution-oriented attitude
- Work onsite at the Naugatuck facility, Monday through Friday.
