JOB DESCRIPTION: The Logistics & Regulatory Coordinator is a hybrid role focusing primarily on logistics but also has familiarity with regulatory compliance and the aptitude to expand upon that knowledge.  He/she will manage the import process for specialty chemical / nutraceutical ingredients, arranging international and domestic transportation.  This position also assists in ensuring regulatory compliance for manufactured and distributed chemical products of our US office and production/warehouse facilities. This position reports to the Operations Manager. The position requires the candidate to be able to: 

  • Manage the entire import process to ensure compliant, timely, and cost-effective transportation movements from overseas suppliers to warehouses and/or customer delivery, which includes shipment coordination, import documentation creation, customs clearance, Tariff rate classification and compliance with various government agency regulations such as EPA (TSCA) and FDA.
  • Possess a formal understanding of domestic and International rules and regulations that govern the shipments of chemical, pharmaceutical and nutraceutical products ensuring country specific GHS and hazmat compliance.
  • Key contact for FDA and Customs as it relates to imports; and maintains required record keeping and creates standard operation procedures (SOP’s) in compliance with federal (FDA), (Customs law) and other country specific regulations.
  • Resolves non-conformance logistics and transportation issues regarding imports and communicates with supply chain team as appropriate.
  • Select vendors and negotiate competitive pricing for logistics services.
  • Reviews, reconciles, approves and ensures timely payment of vendor invoices such as freight, warehouse handling and Custom Broker bills as well as ensuring Entry Summary compliance. 
  • Work with warehouses, customs brokers and domestic transportation providers to ensure streamlined procedures in line with our business and products.  Ensure vendors are in compliance with applicable regulations.   
  • Will participate in annual physical inventory counts and reconciliations of 3rd party warehouses, including compliance safety audits.
  • Files claims with carriers and insurance companies for damages occurred during transportation and handles any corresponding returns from customers.
  • Assist in creating and maintaining SDS’ and labels in the ExEss software, ensuring compliance with current regulations. 
  • Member of team managing global INFOTRAC account (24-hour emergency assistance service) for hazmat shipments.
  • Participate in our NACD (National Association of Chemical Distributors) team that is responsible for updating and maintaining internal Responsible Distribution policies and procedures.  This includes but not limited to, writing SOP’s, and conducting internal and external audits. 
  • Utilizing company’s compliance software program, to assist in creation of EHS programs (OSHA Hazcom 2012).
  • Back-up other Import/Export logistics, regulatory/compliance functions, and other projects as assigned.

JOB QUALIFICATIONS: Bachelor’s degree in business, (chemistry – not required but a plus) or related discipline and 3-5 years’ experience in International Logistics, distribution, and inventory management in a global operation. Hazmat and GHS trained is strongly recommended.  EPA, FDA and EHS experience is a plus.  Regulatory Compliance experience specific to chemicals, food, and drug industry preferred. The candidate will be a “people person” with a “can do attitude”.  He/she will be a problem solver with strong interpersonal and persuasive skills, possessing effective written and oral communication skills, is detail oriented, organized, and able to juggle multiple projects under tight deadlines. Must be able to work in a fast-paced environment while effectively prioritizing responsibilities and have excellent analytical, organizational and time management skills.  Self-motivated, disciplined, positive and energetic personality, proactive, responsible, results driven, flexible and willing to learn. Excellent IT skills (MS Office, Outlook, Word, Excel, PowerPoint), experience in IFS a plus. Knowledge of web based logistic tracking programs and/or inventory software, order processing systems and database software.
